Procedures for Study Room Use
Reservations:
- Rooms can only be reserved in person on the same day (no advance reservations) during regular office hours in room 151 CMW, the Office of Undergraduate Medical Education (UGME) on a first come, first served basis. Students are encouraged to study in groups with priority given to groups over individuals.
- Room access for student study will be made available provided the rooms are not in use or have not been scheduled for other purposes (see priority list above). The College of Medicine reserves the right to cancel a reservation.
- Student organizations, tutors, and students working on classroom projects are allowed to reserve rooms in advance. If a reservation is needed within less than a week, walk-in or phone reservations are permitted. If a reservation is for more than one week in advance, email requests to UGME@uic.edu are required.
- Please include your cell phone number, organization name, date, start/end times, and specific room choice or space requirements in your e-mail request.
Responsibilities:
- The student obtaining the access key or using card access is responsible for room maintenance. As the card access system records your entrance, it is recommended that students sharing a room each swipe their own access card in order to share responsibility.
- Each student must agree to ensure that the room will be returned to a clean and orderly condition. All trash should be properly disposed of and tables & chairs returned to their original location. No personal belongings should be left in the room during times that have not been reserved by the student.
- No food allowed in COMRB rooms. (Food trash in COM & CME rooms must be completely removed.)
- Care must be taken to avoid damage or abuse to furniture and equipment. Any damage that occurs must be reported at the first opportunity to UGME, Room 151 CMW. Any damage done to the room at the time of use is the responsibility of the student.
- Students with a reservation following a time when the room is in use by others must be respectful of time slots. Reservations begin at the scheduled time, and not 10 minutes prior. Do not interupt activities in a room prior to your scheduled time period.
- Use of study room phones, kitchen area including microwaves, copiers, etc. is expressly forbidden.
Access keys:
- The access key to these rooms can be obtained from the UGME Office, Room 151 CMW. Keys must be returned promptly after room use. (After regular office hours, keys can be returned by placing them underneath the UGME door.)
Access to rooms is currently via key or card access. On February 1, 2010, keys will no longer be distributed and card access will be required.
Students will forfeit their right to use of these spaces for study or other learning purposes if this agreement is found in any violation. By making a room reservation you are agreeing to abide by the terms in this Student Study Room Agreement. UIC Office of the Vice Chancellor for Student Affairs "Facility Use Policy" also applies.
